Club Administration Job Descriptions |
· | Oversees all operations of the Club. |
· | Liaises between Club and the City for booking ice and any other facilities. |
· | Sits on all committees. (See the Calendar for more details.) |
· | Reconciles and deposits all monies coming into the Club. |
· | Pay bills in a timely manner. |
· | Provide the executive with monthly financial reports. |
· | Takes minutes at the meetings. |
· | Sends out minutes in a timely manner. |
· | Keeps "minutes" binder up to date. |
· | Liaises between Coaches and Club. |
· | Brings forth any problems or concerns from Coaches or to Coaches. |
· | Writes-up Coaches' contracts for signature. |
· | Collects "letters of intent" for the next season. |
· | Represents all the Coaches in the Club |
· | Brings forward any concerns to the Executive on behalf of Coaching Staff. |
· | Relays information from the Executive. |
· | Keeps Coaches informed of scheduling changes. |
· | Attends Executive meetings. |
· | Must have access to a computer and the Internet. |
· | Organizes registration dates, times and place. |
· | Takes Registrations and submits them to Skate Canada. |
· | Cumulates a list of skaters for each session and gives to Coordinator. |
· | Answers all inquiries regarding the different programs the Club offers. |
· | Makes sure ads go in newspapers, schools, Cogeco, radio, etc. |
· | Makes sure fundraising products are ordered |

After each registration, processes all information with Skate Canada through the computer
* NOTE: The new Executive list must go out after the AGM or else the new Registrar will not be able to get into the Skate Canada Registration site |
· | Photocopies each Registration form, one for the parent and one for the Session Coordinator's folder. |
· | Takes late Registrations, and might have to attend other sessions |
· | Sets-up another Registration in November for the next 10 weeks in the KidSkate and CanSkate programs; puts up signs and give notices to parents. |
· | Makes sure the City has a contact number for the Registrar as they get many calls about the Club |
· | Co-ordinates test days. |
· | Arranges for judges, makes test schedule, collects test fees, provides hospitality and gifts for judges, distributes test papers. |
· | Submits test summaries to Skate Canada. |
· | Posts all incoming competitions that come via mail or email. |
· | Checks Internet for any competitions that may be of interest, and posts them. |
· | Attends meetings for the Region Interclub competition (usually 2 or 3 per year). |
· | Distributes and collects all Registration forms for the Interclub competition. |
· | Completes spread sheet for the Interclub entrants, and sends it to the Club that is hosting. |
· | If our Club is hosting Interclub, organizes the event and holds the meetings for the other Clubs. (Usually 1-2 meetings prior to the competition and one in the summer prior to the skating season.) |
· | Attends monthly Executive meetings and relays information as required. |
· | Keeps Skaters/Parents informed of things like changes in location and times, competition information, times and dates, and information that needs to be passed on from the meetings. |
· | Keeps Skaters/Parents informed of rules and regulations handed out at the beginning of the season. (Should go over them in December and again in February.) |
· | Organizes a music schedule for parents. |
· | Answers questions and relays concerns to the Executive meetings. |
· | Assists the Canskate coaches. |
· | Liases directly between the Executive/Club and the parents. |
· | Passes information to parents, answers questions, promotes the Program, encourages fundraising. |
· | Distributes handouts, colouring pages, stickers, etc. |
· | Keeps progress cards up-to-date and distributes badges as required. |
· | Supports the Club's policies and procedures: The 'club ambassador' for this Program. |
· | Resolves conflicts. |
· | Co-ordinates a program assistant schedule for PAs. |
· | Stays in contact with Canskate Coach to ensure commitments are being met. |
· | On an on-going basis, handles customer purchases; prices stock; processes inventory; orders stock; organizes consignment clothing and skates (pricing, labelling); processes costume rentals (signing out, returns, organizing the costumes, etc.) and handles sales of Club jackets. |
· | Displays and sells Boutique items during Registration, Test Days (at our own Club), Competitions (at our own club), at the Christmas Party, and the Finale. |
· | Updates the showcases at both the PACC and PMC. |
· | Maintains license with Bingo Country. |
· | Prepares reports for Laurentian Valley. |
· | Collects and deposits money from Bingo worker. |
· | Submits a monthly report to the Executive. |
· | Reconciles and deposit Nevada money from retailer. |
· | Applies for lottery license from the City. |
· | Pays bills in a timely manner. |
· | Provides the Executive with a monthly report. |
· | Sits on the Canteen Committee and acts as a liaison between Canteen Committee and the Club. |
· | In charge of any property rentals (e.g. Lights) |
· | In charge of maintenance in Club office. |
· | Handles any inquiries regarding Club property. |
· | Organizes both the parade float, and the volunteers who decorate it or otherwise participate in the parade. |
· | Organizes activities for the night. |
· | Relays information to all Club members. |
· | Collects donations for the Food Bank. |
· | Works with the Club coaches to organize a schedule showcasing all Club members, practice schedules, volunteers, etc. |
· | Distributes and collects Consent Forms for participants in the Show. |
· | Advertises in the local media. |
· | Organizes Guest Skaters and write-ups for announcers. |
· | Organizes the list of Award winners and notifies families. |
· | Organizes trophy engraving, orders 'keeper' trophies, and collects any other Awards to be presented. |
· | Organizes and notifies presenters for the trophies and prepares information about the Award. |
· | Sends Banquet invitations to all Club members and collects monies. |
· | Mainly, arranges advertising with the local media, and reports on the activities of the Club. This includes setting-up paid advertising in the Observer and The News, for Registration dates and for the AGM. |
· | Submits Public Service Announcements to Star 96 FM, Cogeco Cable TV, MyFM Radio, and The NEW RO television. |
· | Arranges photo-opportunities with the Newspaper for the skaters when they have attended a competition or special event, such as a local Clinic; the year-end Finale/Ice Show; and the Year-End Banquet. (This could also include a few general skating sessions, especially for the younger skaters, to help keep the Club in the public eye.) |
· | Archives, in a binder, the photos and stories which appear in the local Media. |
· | Relays information monthly to Club members. |
· | Organizes the schedules for all Sessions each month. |
· | Organizes information to be included in each Newsletter (e.g., Competition results; Test Day results; Clinics; Badges passed; advertising Boutique; Bingo dates; advertising Nevada; advertising Fundraisers; general updates; Skate Canada information; Club Executive directory; Club Coaches directory; practice schedule changes; Registration; welcomes and good-byes; special activities (Christmas party, Banquet, etc.) |
